Reports


This section is where you will find and generate all of the management and administrative reports for the dealership. Most of these reports are created using a range of dates and all of them can be run at any time. The reports are organized by each section of the program and listed under the Reports heading as follows:

A/R:

Customer Aging:

This report shows all the outstanding balances that your customers have.

Customer Statements:

This is where you will create the customer statements to be mailed at the end of the month. You can preview these by clicking on the plus sign on the top right of the screen. To view a statement, click the customer name.

Customers:

Print Customer Labels:

This report is for generating customer mailing labels. You can select individual customer categories, tax categories, and zip codes. Next you can select the type of customer and then the date ranges of their purchases. Finally you have the option of including customers with incomplete information (missing address, names etc). To view the report click the View Report button. To exit this screen, click Cancel.

Print Customer Labels for Serialized Sales:

This report is for generating mailing labels for all of your serialized sales. Start by selecting your date range. Next you will select the type or style of Equipment and then the Manufacturer. Next select all models, or a single model number. Finally you have the option of including customers with incomplete information (missing address, names etc). To view the report, click the View Report button. To exit this screen, click Cancel.

Inventory:

Inventory Count Worksheet:

This is the same report that can be run from the Inventory Activity Screen for doing physical inventory work sheets.

Stock Value Report:

This report is a summary by manufacturer of the value of your inventory at the moment in time the report is run.

Stock Value Detail Report:

This report shows the value of each individual part in the inventory and can be run for all or a single manufacturer.

Unsold Serialized Inventory:

This report will display and print the entire unsold serialized inventory by single, multiple or all of the Manufacturers that you have in the system.

Unsold Serialized Floorplan Report:

This report will display and print the entire unsold serialized inventory by single, multiple or all of the Manufacturers that are part of your floorplan program in the system.

Unsold Serialized Estimated Profit:

This report will display and print the estimated amount of profit, by manufacturer and part number, that you have in the system.

Inventory Qty Sold by Part Report:

This report is a list of all sold part numbers, by vendor and manufacturer.

Print Bin Location Labels:

This report is for generating labels for your parts bins. Start by selecting the manufacturers you want to create the labels for. By default all locations will be printed. If you only want to print a certain bin, uncheck the all locations checkbox and type the bin you want to print. To view the report, click the View Report button. To exit this screen, click Cancel.

Purchase Orders:

Customer Backorder Report:

This report will list all customer backorders by vendor. You can sort it by customer or part number. To create this report, start by selection all, a single or multiple vendors. Next select your customer or part number sort and then click the View Report button to show the report. To exit this window with creating a report, click the Cancel button to close this screen.

Vendor Backorder Report:

This report will list any backorders for Customers or Stock by vendor. To create this report , start by selecting all, multiple, or a single vendor. Next, select the order type and then click the View Report button to show the report in a grid view. The PO number column is a hyperlink that you can click to see the original purchase order. To print the report, click the Print Report button. To leave this screen click Cancel.

Sales / Profit:

Sales Activity:

This report is a list of the sales entered into the system for the date range selected. There are six options for looking at your sales, with the default setting being Invoiced, Backout, and Out For Delivery.

Sales Tax Breakdown:

This report is the breakdown of your sales tax totals by tax category for the date range selected.

Gross Profit Report:

This report shows a complete business profit report, including Labor and Misc. sales totals. Select the date range you desire then click the View Report button to see the report. To leave this screen without viewing the report, click Cancel.

Manufacturers Gross Profit Report:

This report lists the total profit for each manufacturer.

Serialized Gross Profit Report:

This report lists the total profit for each serial number sold.

Summary Report by Salesman:

This reports lists all the over the counter sales and rental sales by each salesman for a given date range. To create this report, start by selecting the date range. Next select all, a single or multiple salesmen, and finish with the type of sales, either regular sales or rental sales. Once you are finished click the View Report button to show the report. To exit this window with creating a report, click the Cancel button to close this screen.

Inventory Profit by Part Report:

This report is a list of the profit amount for each part number sold, by vendor and manufacturer.

Shop:

Process Labor Commission:

Section allows you to see and mark as paid any work orders that your mechanics have finished and/or invoiced. To select the work orders you want to pay, first choose the date range at the top. Next select invoiced only, completed/not invoiced only, or both. Next select the mechanic(s) that you want to view and click the OK button to open up the Mechanic Labor Report Details screen. To exit this screen click Cancel.

Mechanic Labor Report Details:

This screen displays all of the work orders for each mechanic using a single tab for each one. Use the check box on each line or the upper >Check All/Uncheck All buttons for selecting the work orders you want to pay the mechanic for. Click the Save button to mark the selected work orders for that mechanic only, as paid in the system. There is a second set of Check All/Uncheck All buttons that you can use to check or uncheck all work orders regardless of the mechanic. Click the Save All button to mark all the work orders for all mechanics as paid in the system. To print a copy of this report, click the Print Report button. To exit this screen, click the Exit button.

Mechanic Labor Report:

This report lists the invoiced or completed work by each mechanic for a given date range. To run this report you start by selecting the date range that you want to cover, whether the work is invoiced or completed, whether you want to see details or a summary and a single, multiple, or all mechanics. Once you have made your selections, click the OK button to show the report. To exit this window without creating a report, click the Cancel button to close this screen.

Quickbooks:

Draft Posting Report:

The draft posting report is what you will run to check for errors and missing information before the final report is posted to Quickbooks. Always run a draft report before running the final posting report!

Final Posting Report:

After you have run a draft posting report and corrected any errors, you will run a final posting report to mark all the transactions for the specified date range and post the totals to Quickbooks.

Posting Report All:

This will display all of the final posting reports that have been created over time. This allows you to reprint a report if there are errors or missing information.
